Remote Access System Maintenance Scheduled for This Saturday (11/16)


On Saturday, November 16 from 12:01 am to approximately 6:00 am (Eastern Time), the following remote access systems will be unavailable due to system maintenance:

Windows VPN Users: Once the maintenance is complete, the Citrix Secure Access Plug-In may automatically update the next time you log in. Otherwise, you will be prompted to update it.

Access to Service Desk was unavailable between Thursday, November, 14, 2024 at 9:55 p.m. and Friday, November 15, 2024 at 8:45 a.m.  During the outage, users attempting to access the application received a '503 Service Temporarily Unavailable' error when trying to login. Information Technology Services has resolved this problem.

Temple University will be discontinuing alumni access to Microsoft 365 services, which includes TUmail. The change applies to all alumni who graduated more than a year ago.

Access to these services will be removed gradually and in phases with the final phase concluding on May 7, 2025.   

Beyond first year alumni can expect to receive an email with instructions on how to transfer your important files and data approximately one month in advance of your specific service end date.

How exactly will this change affect me?
Once your access to these services is discontinued:

  • Your @temple.edu email address will no longer be valid (i.e., you will not be able to send, receive or view any emails).
  • If you stored files in OneDrive, they will be permanently deleted.
  • You will no longer have access to Microsoft 365 services (such as Word, Excel, PowerPoint, OneNote, OneDrive, Outlook) from your Temple AccessNet account.

Why is Temple doing this?
We have arrived at this difficult decision after a thorough review of cybersecurity risks, national higher education best practices and email usage rates.

Will I still have access to other alumni resources?
Yes. You will also still have access to a number of alumni resources.

The ERA system will be upgraded to the new version of ERA (v15.902.05) on December 3, 2024. ERA will be unavailable from 7 am to 1 pm on December 3, 2024 while the upgrade is performed. The implementation of this upgrade will not affect proposals/protocols that are developed and submitted prior to December 3, 2024. Proposals/protocols due on/after that date will be finalized in the new version. Information saved in the system prior to the upgrade will be available once the upgrade is complete.

The new version maintains the same functionality for the existing modules, so you should not see any changes in the interface. The new version is more critical from the technical aspect and some bug fixes.

Note: Data has been made available in the test environment drawing on 'Production' data from June 17, 2024. The data is available solely for the purpose of enabling you to navigate the new version. No communications are enabled in the test environment.

Please be advised that World Travel, Inc. is working to upgrade its system technology which will temporarily impact Concur.

Concur Travel will be unavailable on Wednesday, 12/04/2024 @ 3 pm ET and will resume live Thursday, 12/05/2024 @ 1 pm ET.

A posted warning message will be added to our Concur site advising of the downtime.

During the downtime, travelers will need to contact World Travel directly for assistance by either calling 800-424-4740 or emailing templetravel@worldtravelinc.com. We strongly recommend booking travel prior to 12/04/24 or after 12/05/24 to avoid delays and additional costs.

When Concur does come up, it will be on the new Concur T2 Platform, Evolution of Travel, which will have the same great functionality, with a more streamlined booking process. Travelers can prepare prior to the cutover on 12/04, by downloading trip details from your Trip library if needed, as details from prior past date trips may not transfer to the new platform. Please also ensure your Concur profile is accurate/up to date, as this will require a re-synch of profile data in the GDS (Global Distribution System), to align with our upgraded technology. Please note, that travelers should ensure their profile data is accurate/up to date. Common profile synch failures are:

  • Full state name instead of a 2-letter abbreviation in home/work/emergency contact address. Please verify your address fields have your state name entered with the 2-letter abbreviation.
  • Emergency contact info – please ensure both your emergency contact name and phone number are in your Concur profile.
  • Phone field format - please ensure your phone number/s are in either of these formats: 1112223333 or 111-222-3333.
  • Missing required information, DOB/Gender/Phone/Email etc. Please ensure your required fields are completed.

New Time Limit for Retaining your Panopto Content


Effective January 6, 2025, Information Technology Services (ITS) is implementing a new time limit for retaining content on the Panopto video hosting platform (video.temple.edu). We are doing this to adhere to our contractual agreements with Panopto and limit potential risks associated with storing unused video content and user data.     

Retention Timeline Details

In most cases, any content (including class captures) you have in Panopto that has NOT been viewed/played within the last 24 months (2 years) will be deleted on an ongoing basis.
 
Note: If you are employed by the Temple University Libraries and University Press or are a student, faculty or staff member in one of the following professional schools, your retention time limit is 48 months (4 years):

  • Lewis Katz School of Medicine
  • Maurice H. Kornberg School of Dentistry
  • School Of Pharmacy
  • School Of Podiatric Medicine

FAQs

Will I be notified before my content is deleted?
No. Unfortunately, due to a limitation of Panopto, we are currently unable to notify you before your content is deleted. We will, however, periodically send out general reminders of these retention guidelines. You can check the Last Viewed and Creation Dates of your videos to make sure they are not at risk of deletion.

Will my content still be viewable in Canvas once it is deleted?
No. If you added a Panopto recording to your Canvas course, it will no longer be viewable once it is deleted from Panopto.

How will the new rules affect my non-video content?
Non-video content (e.g., transcripts or quizzes) is subject to the retention time limit of the video with which it is associated.

For example, if a video has a last viewed date of May 10, 2024, but a quiz associated with that video was last viewed on September 1, 2023, the quiz will stay if the video stays.

How will this affect content migrated from Ensemble or Echo360?
If your content was migrated from Ensemble (September 2022) or Echo360 (July 2023), the last viewing date is when the migration occurred, unless it was viewed more recently.

For example, if your video was migrated from Ensemble in September 2022 but later viewed on April 13, 2024, the retention time limit will be based on April 13, 2024.

Can I request an extension?
Yes. Please submit your request along with a justification at tuhelp.temple.edu.
